Making Meetings More Accessible (Without the Red Tape)


In celebration of National Disability Employment Awareness Month, we're highlighting simple ways to make your meetings more accessible. These aren't complicated policy changes requiring approval; they're practical adjustments you can start implementing today that make a real difference for colleagues with disabilities.

Before the Meeting

  • Send agendas and materials in advance. Distributing materials before a meeting is best practice when possible. This gives people time to review content, prepare questions, and process information at their own pace. It's especially helpful for people with cognitive disabilities, ADHD, or those who use screen readers.

  • Include accommodation requests in invitations. Meeting invitations should always include a means to request accommodations. Add a simple line like, "Please let us know if you need any accommodations to participate fully in this meeting."

  • Choose accessible platforms. Use video conferencing tools that support live captions, screen reader compatibility, and keyboard navigation. Most major platforms offer these features; you just need to enable them.


During the Meeting

  • Turn on live captions automatically. Don't wait for someone to ask. Real-time captioning is a simple accommodation that helps people who are deaf, hard of hearing, or have auditory processing differences.

  • Describe visual content out loud. If you're sharing slides or charts, verbally describe what's on screen. Don't just say "as you can see here", describe what you're pointing to.

  • Limit background noise. Mute when not speaking. Background noise makes it harder for people with hearing difficulties or sensory processing issues to follow along.

  • Offer flexible participation options. Provide options for those who find it challenging to attend in person or turn on their cameras. Some people may need to participate via chat or audio only due to anxiety, sensory issues, or other disabilities.


After the Meeting

  • Share notes and recordings. Send meeting notes, action items, and recordings to all participants. This helps people who may have missed something or need to review information again.

  • Follow up on accommodation requests. If someone requested specific accommodations, check in to see if they worked and what could be improved for next time.


Accessible meetings are about creating environments where everyone can contribute their best work. Many of these accommodations benefit all participants, not just those with disclosed disabilities. Clear agendas help everyone prepare. Captions help in noisy environments. Shared notes ensure nothing gets lost.

The best approach is to be flexible and ask participants what they need rather than making assumptions. Small changes in how you run meetings can make a significant difference in who can fully participate.
